OUR SOFTWARE

Canning Division of General Practice has been developing clinical data extraction tools for general practice since 2005. The most well-known tool is the “Canning Data Extraction Tool”, commonly referred to as “The Canning Tool”, which is used in around 1200 practices across Australia. Canning Division sold a licence for this tool to 85 of the 110 divisions of general practice. Now in the Medicare Local era Canning has decided to make the Canning Tool completely FREE of CHARGE. The first free version is v4.10 which is available from the download link below. Practices are still encouraged to enter their Medicare Local or division's registration key if the organisation has a key.

Canning Division’s tools extract data directly from 7 different GP clinical applications, with more to come. We have the expertise to find all the data fields we need ourselves and manipulate a copy of this data within the tools as required. Quite simply, “If you can enter data into a clinical programme, we can get it out!”. Our tools can currently extract data from:
  • Medical Director 2
  • Medical Director 3
  • Best Practice
  • PractiX
  • Medtech32
  • Zedmed
  • Medical Spectrum
If you are interested in having us develop a data extraction tool for your project, please contact us to discuss your requirements. We can extract any data entered into any of the above clinical applications, and others by request.

The simplest tool will just extract the data and display it in a list. There are, however, many other options available. Typically data is aggregated into an assortment of indicators and presented in the form of totals and percentages. We also have a wide range of graphs to visualise the data to show comparisons and trends in a way that will help the user get real meaning from the numbers. A patient list can be used to display the patients and all of their relevant clinical information used to produce the indicators. Data in the tool can be exported in any file format. It can be e-mailed, uploaded via FTP or web services, and if raw identifiable data needs to be transmitted, it can be encrypted within the tool.

Additional software can be provided and installed at the receiving end, such as decryption tools and aggregation tools.

Canning's extraction tools are typically developed for universities, government health departments, government funded health organisations like NEHTA and the NPS, public health units, divisions of general practice, and pharmaceutical companies.

THE CANNING DATA EXTRACTION TOOL

The Canning Tool is a user-friendly, easy-to-install application that assists practices to identify income potential, streamline practice systems and provide systematic patient care. The tool includes reports based on data in these key areas:
  • Diabetes
  • Coronary Heart Disease
  • Asthma
  • Chronic Obstructive Pulmonary Disease
  • Hypertension
  • Chronic Heart Failure
  • Obesity
  • Cervical Screening
  • Influenza Vaccination
  • HPV Vaccination
  • Chronic Disease Prevention & Self Management
  • Indigenous Health
  • Clinical Data Self-Assessment in preparation for the PCEHR
A major difference between the Canning Tool and other options available to practices is that the Canning Tool is a reporting tool, rather than a broad audit tool. With each extraction, the indicators can be saved and displayed on a graph showing progress over time. Many graph formats are available, including line, stacked line, column, pie, and many more.

The main new feature of v4.10 is the Clinical Data Self-Assessment (CDSA) module. Canning has been contracted by NEHTA to build this report into the tool. These data quality indicators are designed to allow a general practice to make an assessment of the completeness and quality of the demographic and patient health summary data within their systems, in preparation for sharing this information via the Personally Controlled Electronic Health Record (PCEHR). This feature is currently only available to Medical Director 3 and Best Practice users but will be extended to MedTech, PractiX and Zedmed in the next version due out in May 2012.

CANNING DATA EXTRACTION TOOL v4.10 (Mar 2012)

Click the link above to download a fully functional version of the Canning Data Extraction Tool. The tool can run on Windows XP, Vista and Windows 7 computers. Please also download the release notes for further installation and registration instructions, along with basic information and the latest modifications in version 4.10.

Canning Tool Instructions and Release Notes

To install the tool, double-click the downloaded file. This installation file will automatically install the tool in your Program Files folder and place an icon on your desktop.

To run the tool, double-click the desktop icon. Click the clinical software button appropriate to the software used at the practice (Use MD3 for the demonstration data). A dialogue box will appear offering 3 options to access the tool. Regardless of which button is clicked, the tool will contain sample data from Medical Director 3 which is useful for demonstration and training purposes. This sample data will be deleted during the first import and replaced with real data.

Registration

DEMO: The Demo option will give you full access to all areas of the tool, however importing will be disabled. The tool will also contain 6 dummy saved records in some reports and these records are used to populate the graphs that show trends over time.

REGISTER: Click the Register button to register the tool using a registration key provided by a Medicare Local or division. The main benefit of registering is that the e-mailing feature will be enabled with the registered organisation’s e-mail address hard-coded into the tool. Practices can then submit their indicators to the Medicare Local or division to participate in clinical activities or to supply data to assist the organisation meet their compulsory reporting requirements. This feature is not available to Guest users. Canning prefers practices to register with their Medicare Local, or division, as we generally have existing and very good relationships with these organisations. Their staff members are usually very experienced users of the Canning Tool and can often provide faster and local support.

GUEST: Guest users will have access to all reports and functionality except for the ability to e-mail the indicators extracted during the main import to their Medicare Local or division.

The Canning Tool's features are all self-explanatory. The tool contains a good set of demonstration data from Medical Director 3. View the various reports, colourful graphs, patient lists and print or export the data. There are some instructions available under "Help" on the menu bar. The new CDSA indicators have a very detailed help section.

The e-mail feature allows you to e-mail the totals in the indicators to the Medicare Local or division, where they can be imported by the Canning Data Aggregation Tool. This tool aggregates all of the indicators e-mailed to the division from the various practices, providing a simple report for the Medicare Local’s, or division’s, NPI reporting. After the tool has been installed, staff could even just phone the practice and ask someone to start the tool and click the “Import & e-mail” button, which will import, process and e-mail the indicators to you automatically. Note that NO patient data of any kind leaves the practice. The full version of the Canning Data Aggregation Tool can be downloaded by clicking the link below.

CANNING DATA AGGREGATION TOOL FOR NPCC & NPI INDICATORS E-MAILED TO DIVISION v4.0 (Feb 11)

The aggregation tool contains dummy practice data until registered. If you have any questions about the Canning Tool, or would like to enquire about having an extraction tool developed for your own project, please contact Ian Peters via e-mail: extraction@canningdivision.com.au or telephone 08 9458 0505.

HISTORY

Medical software applications currently used in general practice are excellent for data storage and retrieval on a patient by patient basis. However, most programmes have limited or difficult-to-use capabilities in regard to retrieval of data for the entire patient population. This makes them generally too difficult to use for systematic management of patients. For many years, Canning Division has attempted to get clinical software providers to include useful reporting facilities in their programmes. Unfortunately, this approach has proven to be unsuccessful.

As a result, the division decided to develop its own data extraction capability in early 2005. When the National Primary Care Collaboratives was launched in Australia in late 2005, the NPCC approached Canning Division with a request to develop a data extraction tool for the Collaboratives project. This was completed successfully within a very short timeframe. The tool extracted clinical data for patients with diabetes and coronary heart disease (CHD).

Canning Division now produces a range of tools which are capable of extracting data from a variety of the most commonly used GP desktop software (Medical Director 2, Medical Director 3, Best Practice, PractiX, MedTech32, Zedmed and Medical Spectrum Classic, with more to follow). 85 of the 110 Divisions of General Practice in Australia purchased a copy of the Canning Data Extraction Tool. With the advent of Medicare Locals, the tool is now free of charge.
